Overview

Smartbills can connect to your email accounts and automatically scan for receipt emails. When a receipt email is detected, the system extracts the receipt data and creates an expense entry in your inbox. This eliminates the need to manually forward or upload receipts. To manage email accounts, navigate to Settings > Email Accounts in the left sidebar.
Only users with the Admin or Owner role can connect and manage email accounts.

Supported Email Providers

Smartbills supports the following email providers:

Connect an Email Account

Open Email Account Settings

Navigate to Settings > Email Accounts. The page displays any currently connected accounts.

Click Connect Account

Click the Connect Account button and select your email provider (Gmail or Outlook).

Authorize Access

A new window opens for your email provider’s OAuth sign-in flow. Sign in with the email account you want to connect and grant Smartbills read access to your inbox.
Smartbills only requests read access to scan for receipt emails. It does not send, delete, or modify any emails in your account.

Confirm Connection

Once authorization is complete, you are redirected back to Smartbills. The connected email account appears in the list with an Active status.
Your email account is connected. Smartbills will begin scanning for receipt emails automatically.

How Auto-Scanning Works

Once connected, Smartbills periodically checks the connected email account for messages that contain receipts or invoices. The system:
  1. Scans incoming emails for receipt-like content (order confirmations, invoices, payment receipts)
  2. Extracts receipt data including vendor name, amount, date, and tax information
  3. Creates an expense entry in your company inbox
  4. Attaches the original email or PDF as the receipt document
Smartbills uses AI to distinguish receipt emails from regular correspondence, so only relevant emails are processed.

Manage Connected Accounts

Disconnect an Account

To stop scanning an email account:
  1. Click the account in the connected accounts list
  2. Click Disconnect
  3. Confirm the action
Disconnecting removes Smartbills’ access to the email account. Expenses already imported from that account are preserved.

Reconnect an Account

If your email provider’s authorization expires or is revoked, the account status changes to Disconnected. Click Reconnect next to the account and complete the OAuth flow again.
