Overview
The Expenses tab in the Smartbills mobile app gives you full control over your personal expenses. You can browse your expense history, filter by various criteria, edit details, attach additional photos, and remove expenses you no longer need, all from your phone.Viewing Your Expenses
Tap the Expenses tab in the bottom navigation to see all of your personal expenses. Each expense in the list displays the merchant name, amount, date, and current status. Expenses are sorted by date with the most recent at the top.Filtering Expenses
Use the filter controls at the top of the Expenses tab to narrow down the list.1
Open Filters
Tap the Filter icon at the top right of the Expenses tab. The filter panel slides up from the bottom of the screen.

Set Your Criteria
Choose from the following filter options:

Apply Filters
Tap Apply to update the expense list. Active filters are shown as chips below the search bar. Tap any chip to remove that filter, or tap Clear All to reset.
Searching Expenses
Tap the Search bar at the top of the Expenses tab and type a merchant name, amount, or keyword. Results update as you type. Search looks across merchant names, notes, categories, and amounts.Viewing Expense Details
Tap any expense in the list to open the detail view. The detail screen shows:- The receipt image (tap to view full screen, pinch to zoom)
- All extracted and edited fields: merchant, amount, date, currency, category, department, payment method, and notes
- Tax line items (GST, HST, PST, VAT, etc.)
- The expense status and any associated report
- A timestamp showing when the expense was created and last modified
Editing an Expense
You can edit any expense that is in Draft or Pending status, or that belongs to a draft (unsubmitted) report.1
Open the Expense
Tap the expense in the list to open the detail view.

Tap Edit
Tap the Edit button at the top right of the detail screen. The fields become editable.

Modify the Fields
Tap any field to change its value:

Save Changes
Tap Save to apply your changes. The expense list updates immediately.
Locked expenses: Expenses that belong to a submitted report cannot be edited until the report is recalled. See Recall a Report for instructions.
Deleting an Expense
You can delete expenses that are in Draft or Pending status and are not part of a submitted report.Swipe to Delete
On the Expenses list, swipe left on the expense you want to remove. A red Delete button appears. Tap it to confirm the deletion.Delete from Detail View
Open the expense detail view, tap the More menu (three dots) at the top right, and select Delete. Confirm the deletion in the dialog that appears.Attaching Additional Photos
If you need to add supplementary images to an expense, such as an itemized breakdown, a second page of a receipt, or a photo of the item purchased, you can attach additional photos.1
Open the Expense
Tap the expense to open the detail view.

Tap Add Photo
Scroll down to the Attachments section and tap Add Photo. You can choose to take a new photo with your camera or select an existing image from your photo library.

Review and Save
Preview the attached image. Tap Save to add it to the expense. Additional attachments appear in a horizontal carousel below the primary receipt image.
Sharing Expense Details
To share an expense with a colleague or for your own records:- Open the expense detail view
- Tap the Share icon at the top right
- Choose your preferred sharing method (email, messaging app, or save to files)
