Introduction

The Approvals section is where managers and designated approvers review, approve, reject, or request changes on submitted expense reports. Smartbills supports two levels of approval to give organizations the flexibility they need.
Who sees Approvals? Only users with approval permissions see the Approvals section in the sidebar. If you do not see it, contact your administrator to verify your role.

Two Types of Approvals

Smartbills provides two distinct approval workflows that can be used independently or together:

Expense-Level Approvals

Accessed at /:slug/approvals, expense-level approvals let approvers review individual expenses before they are grouped into a report. This is useful for organizations that want granular control over each transaction.
  • Approvers see a queue of individual expenses awaiting review
  • Each expense can be approved or flagged independently
  • Expenses must be approved before they can be added to a report (when this workflow is enabled)

Report-Level Approvals

Accessed at /:slug/approbations, report-level approvals operate on entire expense reports. This is the more traditional workflow where employees bundle expenses into a report and submit it as a single unit.
  • Approvers see a queue of submitted expense reports
  • The full report is reviewed, including all attached expenses
  • The approver can approve, reject, or request changes on the entire report

The Approval Queue

When you open Approvals in the sidebar, you see a list of items waiting for your action. A badge on the sidebar icon shows the number of pending items.

Queue Features

  • Status filters: Filter by Pending, Approved, Rejected, or Changes Requested
  • Date range: Narrow results to a specific time period
  • Submitter filter: View items from a particular team member
  • Amount range: Focus on items above or below a certain threshold
  • Search: Find items by name, description, or reference number

For each pending item, you can take one of three actions:

Approve

Accept the report and move it forward

Reject

Decline the report with a required reason

Request Changes

Send the report back for revisions

Notifications

Smartbills keeps both approvers and submitters informed throughout the process:
  • Approvers receive notifications when a new item is submitted for their review
  • Submitters receive notifications when their item is approved, rejected, or returned for changes
  • Notifications appear in the top bar bell icon and are also sent by email (configurable in Settings)

Multi-Level Approvals

For organizations that require more than one level of sign-off, Smartbills supports sequential approval chains. When enabled:
  1. The first approver reviews and approves
  2. The item advances to the next approver in the chain
  3. The process repeats until all required approvals are collected
  4. The submitter is notified only after final approval or if any approver rejects
Approval chains are configured by administrators in Settings > Approval Workflows. Contact your admin if you need to adjust the approval hierarchy.
