Overview

Every mileage trip must be attached to a vehicle. Vehicles are personal: the ones you add belong to you, not to the whole business, so each employee maintains their own list. Vehicles live at Settings > Personal > Vehicles. Everyone can manage their own.
The vehicle you choose sets the distance unit for the trip. A vehicle whose registration country is the United States measures trips in miles. Every other registration country measures in kilometres. Choose the vehicle before checking the distance.

Open vehicle settings

Go to Settings, then Vehicles under the Personal group.

Enter a name you will recognise in the trip form, then the make, model, and registration details. The registration country matters because it sets the distance unit.

The vehicle becomes selectable in the trip form immediately.

Adding a vehicle while logging a trip

You do not have to visit settings first. The vehicle picker in the trip form has an Add a new vehicle option that opens the same form in a dialog. When you save, the new vehicle is selected on the trip you were already filling in.

Edit a vehicle

Open the vehicle from settings and change any field. Editing a vehicle does not recalculate trips you have already logged. If you correct a registration country after logging trips, existing trips keep the unit they were saved with.

Delete a vehicle

Deleting removes the vehicle from your picker. Trips that already reference it keep working: the trip form injects the saved vehicle as an option so the selection still resolves and the trip does not silently lose its vehicle.
Because a deleted vehicle still appears on historical trips, deleting is not a way to hide past mileage. Remove the trips themselves if that is what you need, and note that trips already on an expense report cannot be deleted until they are removed from it.

Changing the vehicle on an existing trip

Open the trip and use Change vehicle in the summary panel. This is useful when you logged a trip against the wrong car, and it recalculates the reimbursement if the new vehicle changes the distance unit.
