Overview

Receipt forwarding lets you send receipts to Smartbills from any app on your phone, your email client, photo gallery, messaging apps, or file manager. Every Smartbills account includes a unique forwarding email address. You can also use the native share sheet on iOS and Android to send images and PDFs directly to Smartbills without leaving the app you are in.

Finding Your Forwarding Email Address

Each Smartbills user has a unique forwarding email address. Any receipt sent to this address is automatically processed by OCR and added to your Expenses as a new expense.

Open Settings

Tap the Menu tab in the bottom navigation, then tap Settings.

Go to Receipt Forwarding

Tap Receipt Forwarding in the settings list.

Copy Your Address

Your unique forwarding email address is displayed at the top of the screen (e.g., [email protected]). Tap the Copy button to copy it to your clipboard.
Save your forwarding address as a contact on your phone named “Smartbills Receipts” so it appears as a suggestion when forwarding emails.

Forwarding Receipts via Email

Once you have your forwarding address, you can forward receipt emails directly from any email app on your phone.
  1. Open the email containing the receipt
  2. Tap Forward
  3. Enter your Smartbills forwarding email address as the recipient
  4. Tap Send
Smartbills processes both email attachments (images and PDFs) and receipt images embedded in the email body. Within a few minutes, the new expense appears in your Expenses with the extracted data pre-filled.
Only emails sent from the address associated with your Smartbills account are accepted. Forwarding from a different email address is rejected for security purposes.

Sharing from Other Apps

The Smartbills mobile app registers as a share target on both iOS and Android. This means you can send images and PDFs to Smartbills from virtually any app using the native share sheet.

Sharing on iOS

Open the Share Sheet

In any app (Photos, Mail, Safari, Files, or a messaging app), tap the Share button on an image or PDF.

Select Smartbills

Scroll through the app icons in the share sheet and tap Smartbills. If you do not see Smartbills, tap More and enable it in your share extensions list.

Confirm and Send

A preview screen appears showing the selected image. You can optionally add a note or select a category before sending. Tap Send to Smartbills to submit the receipt for processing.

Sharing on Android

Open the Share Menu

In any app (Gallery, Gmail, Chrome, Files, or a messaging app), tap the Share button on an image or PDF.

Select Smartbills

Find and tap Smartbills in the Android share menu. If it does not appear, look under More or See all in the share target list.

Confirm and Send

Review the preview and tap Send to Smartbills. The receipt is uploaded and processed by OCR. A notification confirms when the new expense has been created.

Supported File Formats

The following file formats are accepted through both email forwarding and share sheet: The maximum file size for a single attachment is 10 MB. Emails with multiple attachments create one expense per attachment.

Managing Forwarded Receipts

Forwarded receipts follow the same workflow as any other expense in Smartbills:
  1. The receipt is processed by OCR and a new expense is created in your Expenses
  2. Review and correct the extracted data (merchant, amount, date, taxes)
  3. Assign a category and department
  4. Add the expense to a report for submission
You can identify forwarded receipts by the Forwarded label on the expense detail screen, which also shows the original email subject line and sender.
