Introduction

This guide walks you through downloading the Smartbills mobile app, signing in for the first time, selecting your business, and configuring optional security settings like biometric login.
You need an existing Smartbills account to use the mobile app. If you do not have one yet, ask your company administrator to invite you, or create an account on the web dashboard first.

Step 1: Download the App

The Smartbills mobile app is free to download from the Apple App Store and Google Play Store.

Step 2: Open the App

After installation, tap the Smartbills icon on your home screen to launch the app. You will see the welcome screen with options to sign in.

Step 3: Sign In

You can sign in using your email and password or through single sign-on (SSO) if your organization has configured it.

Email and Password

  1. Tap Sign in with Email
  2. Enter the email address associated with your Smartbills account
  3. Enter your password

Single Sign-On (SSO)

If your company uses SSO (Google, Microsoft, or a custom SAML provider):
  1. Tap Sign in with SSO
  2. Enter your company email address or SSO domain
  3. You will be redirected to your identity provider’s login page
  4. Complete authentication with your corporate credentials
  5. You will be returned to the Smartbills app, signed in

Step 4: Select Your Business

If your account is associated with multiple businesses, you will be prompted to select which business to use. You can switch between businesses at any time from the Menu tab.
  1. Review the list of businesses linked to your account
  2. Tap the business you want to work with
  3. The app will load that business’s data and settings
The app remembers your last selected business. On subsequent launches, you will go straight to the home screen without needing to select a business again.

Step 5: Enable Biometric Login (Optional)

After your first successful sign-in, the app will offer to enable biometric authentication for faster access on future launches.
  1. When prompted, tap Enable to turn on biometric login
  2. Confirm with your Face ID, Touch ID, or fingerprint
  3. On your next app launch, you can sign in with biometrics instead of entering your password
To enable or disable biometric login later, go to Menu > Settings > Security > Biometric Login.

Step 6: Allow Notifications (Optional)

The app will ask for permission to send push notifications. Notifications keep you informed about expense approvals, rejections, and report status changes.
  1. When the system prompt appears, tap Allow
  2. You can customize which notification types you receive in Menu > Settings > Notifications
See Notifications for details on available notification types.

Troubleshooting

Make sure your device meets the minimum OS requirements (iOS 15+ or Android 10+). If your device is compatible, try searching for “Smartbills” in the app store. If you still cannot find it, your organization may have restricted app installations on managed devices, contact your IT administrator.
Double-check that you are using the same email address you registered with on the Smartbills web dashboard. Passwords are case-sensitive. If you continue to have trouble, use the Forgot Password option to reset your password.
Your administrator may not have added you to the business yet. Contact your company’s Smartbills administrator to verify that your account has been invited to the business.
Make sure your company’s SSO integration is fully configured. Contact your IT administrator to verify that the Smartbills SSO application is set up in your identity provider. Also ensure you are using the correct company email domain.
If you changed your device biometrics (added a new fingerprint or re-enrolled Face ID), you may need to re-enable biometric login in the app. Go to Menu > Settings > Security > Biometric Login and toggle it off and back on.
