Introduction
Expense reports let employees group related expenses together for approval and reimbursement. Instead of submitting each expense individually, you bundle them into a report with a title, business purpose, and date range, then submit the entire report for your manager or finance team to review. Access your expense reports by clicking My Expense Reports in the sidebar or navigating to/{slug}/expense-reports.
Report Lifecycle
Every expense report follows a structured lifecycle from creation to reimbursement:1
Draft
You create a new report and begin adding expenses from your Expenses list. The report remains editable. You can add or remove expenses, update the title, and modify the business purpose at any time.
2
Submitted
When the report is ready, you submit it for approval. The report is locked for editing and your approver receives a notification. If you need to make changes after submission, you must recall the report first.
3
Under Review
Your manager or designated approver opens the report and reviews each expense, checking receipts, amounts, and categorization.
4
Approved or Rejected
The approver either approves the report, moving all expenses to Approved status, or rejects it with feedback. If rejected, the report returns to you for corrections before resubmission.
5
Reimbursed
After approval, the finance team processes the reimbursement. The report status changes to Reimbursed and all attached receipts are archived in the Vault.
