Overview

After creating your account, Smartbills walks you through a setup wizard to configure your business. This process ensures your organization is ready for expense management from day one.
If you joined an existing business through an invitation, the wizard is skipped because your administrator has already completed these steps.

Business Setup Wizard

Enter Your Business Name

Provide the legal or operating name of your business. This name appears on expense reports, invoices, and team invitations.
You can update the business name later from Settings > General.

Set Currency and Timezone

Choose your primary settings:
  • Default Currency: Select your organization’s reporting currency (e.g., USD, CAD, EUR, GBP). Expenses in other currencies will be converted at the current exchange rate.
  • Timezone: This determines timestamps on reports, audit logs, and notifications.

Add Business Address

Enter your primary business address. This information is used for:
  • Expense report headers
  • Tax compliance and localization
  • Vendor communication

Select Account Type

Choose how you will use Smartbills:
  • Personal: You are tracking expenses for yourself (freelancer, sole proprietor)
  • Business: You are managing expenses for a team or company
This selection determines which features and navigation items are enabled. Business accounts unlock team management, approval workflows, and the company expense inbox.

Invite Your First Team Members

Add colleagues to your business by entering their email addresses. Each person will receive an invitation to join your organization on Smartbills.You can assign roles during this step:
  • Employee: Can submit expenses and reports
  • Manager: Can approve expense reports
  • Admin: Full access to settings and team management
You can skip this step and invite team members later from Team > Invite Members.
Your business is set up. The dashboard is now fully configured and ready to use.

After Onboarding

Once the wizard is complete, you will land on the Home page. From here you can:
  • Upload your first expense in the Expenses
  • Customize categories and departments in Settings
  • Set up approval workflows under Settings > Approvals
  • Connect integrations such as QuickBooks or Slack
