Overview

The Slack integration brings expense management into your Slack workspace. Team members can submit expenses, upload receipts, and receive notifications without leaving Slack. Managers can approve or reject expense reports directly from Slack messages.

Prerequisites

  • Slack workspace (any plan)
  • Smartbills Business plan or higher
  • Slack workspace admin permissions (for installation)

Setup

Open the Apps Marketplace

In Smartbills, go to Settings > Apps and search for Slack.

Add to Slack

Click Add to Slack and select your workspace.

Authorize Permissions

Review the permissions requested and click Allow. Smartbills needs access to post messages and receive commands.

Configure Channels

Set up which channels receive expense notifications and approval requests.

Link Accounts

Team members link their Slack accounts to Smartbills by typing /smartbills connect in Slack.

Configure which channels receive notifications:

Bot Conversations

Send a receipt image or text to the @Smartbills bot in a direct message:
  1. Upload a receipt photo to the bot DM
  2. The bot extracts merchant, amount, and date automatically
  3. Confirm or edit the extracted details
  4. The expense is created in your Smartbills wallet

Approval Actions

When a report is submitted, approvers receive an interactive message with action buttons:
  • Approve: One-click approval
  • View Details: Open the full report in Smartbills
  • Reject: Reject with an optional reason
  • Request Changes: Ask the submitter to make edits

Data Sync

Troubleshooting

Verify the Smartbills app is installed in your workspace. Check Apps in the Slack sidebar. Reinstall if commands are unresponsive.
Ensure the @Smartbills bot is added to the channel or that you are DMing it directly. The bot only responds in channels where it has been invited.
Check channel notification settings in the Smartbills integration configuration. Verify the bot has permission to post in the target channel.
Run /smartbills connect to link your Slack identity to your Smartbills account. Each team member must link individually.
Ensure your Smartbills session is active. If the button returns an error, try the /approve command to view pending items directly.
