Overview

The Microsoft Teams integration brings Smartbills notifications and approval workflows into your Teams environment. Receive real-time alerts, approve expense reports, and access Smartbills via a Teams tab, all without switching applications.

Prerequisites

  • Microsoft Teams (any plan)
  • Smartbills Business plan or higher
  • Teams admin permissions (for organization-wide deployment)

Setup

Open the Apps Marketplace

In Smartbills, go to Settings > Apps and search for Microsoft Teams.

Install the App

Click Connect and you will be redirected to install the Smartbills app in Teams. Alternatively, search for Smartbills in the Teams App Store.

Authorize

Sign in with your Microsoft account and authorize Smartbills to send notifications and read user profiles.

Configure Notifications

Set up which channels receive expense notifications and which users receive personal alerts.

Add as Tab (Optional)

Add Smartbills as a tab in your preferred Teams channel for quick dashboard access.

Tab Setup

Add the Smartbills dashboard as a tab in any Teams channel:
  1. Click the + button at the top of a Teams channel
  2. Search for Smartbills
  3. Select the view to display (dashboard, expenses, or reports)
  4. Click Save

Bot Commands

Approval Workflow

When an expense report requires approval, the approver receives an adaptive card in Teams:
  1. The card shows the report summary (submitter, total amount, number of items)
  2. The approver can click Approve, Reject, or View Details
  3. Rejections prompt for an optional reason
  4. The submitter receives a notification of the decision

Troubleshooting

For organization-wide deployment, the Teams admin must approve the Smartbills app in the Teams Admin Center under Manage apps.
Verify the notification channel is configured in the Smartbills integration settings. Check that the bot has permission to post in the channel.
Ensure your Smartbills account is linked. Click on the notification and sign in if prompted. Adaptive cards require an active session.
Check that third-party cookies are enabled in your browser or Teams client. The tab requires authentication with Smartbills.
Verify the Smartbills app is installed in your Teams workspace. Try removing and re-adding the bot. Check that the bot is not blocked in Teams admin policies.
