Overview

The FreshBooks integration connects Smartbills with your FreshBooks account to sync expenses, clients, and project data. Approved expenses are exported to FreshBooks as expense entries, with support for client billing and project tracking.

  • FreshBooks account (Plus plan or higher)
  • Smartbills Business plan or higher
  • Admin access in both systems

Setup

Open the Apps Marketplace

In Smartbills, go to Settings > Apps and search for FreshBooks.

Connect Your Account

Click Connect and sign in to your FreshBooks account. Authorize Smartbills to access your data.

Select Business

Choose the FreshBooks business to connect if you have multiple.

Map Categories

Map Smartbills categories to FreshBooks expense categories.

Set sync preferences, default project assignment, and billable defaults.

FreshBooks supports two tax fields per line item:

Troubleshooting

FreshBooks OAuth tokens may expire. Reconnect from Settings > Apps > FreshBooks.
Enable auto-match or manually map the client in the integration settings.
Ensure the project is active in FreshBooks. Archived projects are not available for mapping.
Check that only one sync method is active. Disable scheduled sync if using real-time, or vice versa.
Verify tax code mappings. FreshBooks applies taxes at the line-item level, so ensure each tax field is mapped correctly.
